01 / Who this is for

For businesses where staff time is going into repetitive work.

Automation means getting software to do a job a person is currently doing by hand, every day, in exactly the same way. Copying an enquiry from a form into a spreadsheet. Sending the same follow-up message. Producing the same report every Monday morning. Answering the same five questions on WhatsApp.

It is worth doing when the task is frequent, rule-based and repetitive. It is not worth doing for work that needs judgement, or for something that happens twice a year.

The honest test: count how many minutes a week the task actually takes. If it is fifteen minutes a month, automation will cost more than it saves. If it is an hour a day, it usually pays for itself.

The three kinds of automation, in plain terms.

Rules: "when this happens, do that"

Most automation is exactly this. When a form is submitted, add a row to the sheet, create a contact in the CRM, send a WhatsApp confirmation and alert the sales team. Tools such as Zapier, Make and n8n connect the apps you already use. Nothing is guessed — it follows the rules you set, every time.

Scripts: doing a job on a schedule

A small custom program that runs on its own — every night, every hour, or when triggered. It might pull data from one system, reformat it and load it into another, or produce a report and email it out. This is used when off-the-shelf connectors cannot do what you need.

AI assistants: handling questions that are not identical

A rule-based chatbot follows a script and can only answer what it was told to answer. An AI assistant built on a language model can understand a question phrased in a way nobody anticipated, and answer from a knowledge base you supply. It is more capable and more expensive, and it needs boundaries: what sources it may use, what it must refuse, and when it must hand over to a person.

An AI assistant is not automatically the right answer. If your customers ask five predictable questions, a rule-based chatbot does the job for a fraction of the cost and never says anything unexpected.

Workflows and scripts are priced individually because each one connects different systems with different rules. Chatbots and marketing automation are priced per build. Automation maintenance is the only recurring item.

Project rates are billed per project. Automation maintenance is billed monthly. Where a range is shown, the position within it depends on how many systems are connected, how many rules and exceptions there are, and how much testing the failure cases need.

05 / Why automation needs maintenance

Automation breaks quietly, which is what makes it risky.

An automation depends on other companies’ software. When WhatsApp changes its API, when your CRM updates its login method, when a tool changes its pricing tier or retires a feature, the automation stops working. The dangerous part is that it usually stops silently — nobody gets an error, the rows simply stop appearing.

  • Monitoring so a broken automation is noticed within hours, not when someone eventually asks where the leads went.
  • Fixes when a connected app changes its API or authentication.
  • Adjustments when your own process changes and the rules no longer match it.
  • A record of what ran, what failed and what was corrected.

Maintenance is optional and priced at ₹3,000 – ₹8,000 / mo. It is recommended for any automation that handles leads, payments or customer messages, because those are the ones where silent failure costs real money.

06 / What you get and what is excluded

Not included unless quoted separately

  • Subscription charges for Zapier, Make, n8n, your CRM, your email platform or any other tool used.
  • AI model usage charges from providers such as OpenAI or Anthropic, which are metered per use.
  • WhatsApp Business API conversation charges.
  • SMS and email delivery charges.
  • Content: the messages, knowledge base articles and campaign copy, unless writing is quoted as part of the work.
  • Ongoing monitoring and fixes, unless automation maintenance is included.
  • Any guarantee about what an AI assistant will say. Language models can produce wrong answers, which is why boundaries and human escalation are part of the scope.

07 / What this looks like in practice

These are illustrative scenarios written to explain how the rates apply. They are not Netqorix client projects.

Hypothetical example

A coaching centre losing enquiries overnight. A form submission automatically creates a CRM contact, sends the enquirer a WhatsApp acknowledgement with the fee structure, and alerts the counsellor on duty. That is one workflow connecting three apps — typically the Workflow Automation band, plus maintenance because leads are involved.

Hypothetical example

A furniture showroom answering the same questions all day. Opening hours, delivery areas, whether a model is in stock, and how to book a visit. Those are predictable and scripted, so a rule-based chatbot on the website and WhatsApp fits, capturing the visitor’s number before handing over to staff for anything unusual.

Hypothetical example

A distributor whose product catalogue is too large to script. Customers ask about specifications, compatibility and substitutes across thousands of items. Scripted answers cannot cover that, so an AI assistant with the catalogue as its knowledge base fits — with explicit rules that it must not quote prices it cannot verify and must escalate anything about an order to a person.

08 / The delivery process

How an automation engagement runs.

  1. Describe the task being done by hand

    Explain what someone does today, step by step, and roughly how often. This is the single most useful thing you can send.

  2. Check it is worth automating

    Sanjeev confirms whether the time saved justifies the build, and will say when it does not. Some tasks are better fixed by changing the process than by automating it.

  3. Scope and fixed quote

    The rules, the systems involved, the failure behaviour and the third-party subscriptions required are written down, with each workflow or script priced as its own line.

  4. Access and build

    You provide account access for the systems being connected. The automation is built and tested against normal cases and failure cases.

  5. Go live and hand over

    The automation is switched on, documented and handed over. Maintenance begins from here if you have taken it.

Delivery time depends on how quickly account access and the rules are confirmed, and on third-party approvals such as WhatsApp Business verification, which Netqorix does not control. A schedule is confirmed in your quote rather than promised in advance on this page.

09 / Ongoing and third-party costs

The build is one bill. Running it is another.

Almost every automation depends on paid third-party services, billed by those providers and not by Netqorix:

  • Automation platform subscriptions — Zapier, Make or n8n — usually priced by how many tasks run per month.
  • AI model usage, metered per request. A busy assistant costs more than a quiet one.
  • WhatsApp Business API conversation charges.
  • SMS and email delivery charges.
  • CRM, email marketing and other platform subscriptions.
  • Hosting, where a custom script needs somewhere to run. See cloud services.

These are itemised in your quote with the assumptions stated, so you can see the monthly running cost before you approve the build.

What is the difference between a rule-based chatbot and an AI assistant?

A rule-based chatbot follows a script you define. It can only answer what it was told, it never invents anything, and it is cheaper at ₹15,000 – ₹40,000. An AI assistant uses a language model to understand questions phrased in ways nobody anticipated and answers from a knowledge base you supply. It is more capable and costs ₹40,000 – ₹1,50,000, plus metered usage charges.

Will an AI assistant ever give a wrong answer?

It can. Language models are capable of producing confident, incorrect answers. That is why scope includes explicit boundaries: which sources it may use, what it must refuse to answer, and when it must hand the conversation to a person. Anyone promising a language model that never makes a mistake is overstating what the technology does.

Are the Zapier, WhatsApp and AI usage charges included?

No. Those are billed by the providers, usually by volume, and they continue for as long as the automation runs. Your quote itemises which subscriptions are needed and what drives the cost, so you can see the monthly running bill before approving the build.

Why is each workflow priced separately?

Because each one connects different systems with different rules, limits and failure cases. A form-to-spreadsheet workflow and a payment-to-accounting workflow are different pieces of work, and pricing them as one number would mean guessing at both.

Do I need automation maintenance?

It is optional, and strongly recommended where leads, payments or customer messages are involved. Automations break silently when the apps they depend on change their APIs. Without monitoring, the usual way a business finds out is by noticing that enquiries stopped arriving days ago.

Can you automate something in a system you did not build?

Usually yes, provided the system offers an API or a supported connector. If it does not, the options are limited and Netqorix will say so rather than proposing a fragile workaround that breaks at the first change.

Is automation always worth it?

No. If a task takes a few minutes a month, the build will cost more than it saves. Automation pays off on work that is frequent, repetitive and rule-based. You will get a direct answer on which side of that line your task falls.

Who owns the automation?

You do. Accounts are set up in your name where possible, custom script source code is handed over after final settlement, and the documentation explains how it works so another provider could take it over.
